When it comes to email by domain name, it is impossible not to mention two of the world’s most popular free services, Zoho and Yandex.
Zoho Mail is a free email service based on Zoho’s own domain name. When using Zoho Mail, you can synchronize data with other services of the same system as Zoho Docs and Zoho Storage.
The Zoho Mail service has a lower limit than Yandex Mail when each account only adds 1 domain, 25 users limit and 5GB per mailbox limit. If upgrading to $ 2.5/user/month, nearly equal to the cost of Google Apps for Work, there will definitely not be many users.
As for Yandex Mail, you can add almost unlimited domains on one account, up to 1,000 users, but you can still add an unlimited amount of mailbox space.
I often use Yandex Mail more because of its stability, good quality and has a tutorial on configuring creating a private domain email with Yandex. However, to have more choices for you, I will guide you to register and use the service of Zoho Mail.
1. Register for a Zoho Mail account
First, visit the registration page here.
- In the price list, press the SIGN-UP button at the FREE package.
- Next, enter the required information then click Sign Up.
- You will receive a welcome screen as shown below, click Setup “ezdigital.net” in Zoho to continue.
2. Domain name verification
In the next page, you will have to confirm the ownership right on the domain.
The list of Domain’s DNS Manager that Zoho provides is available with a number of well-known domain name providers such as GoDaddy, 1 & 1, Name.com, etc. You just need to click on it and follow the simple steps to follow.
I choose the harder way, choose Others.
We have 3 ways to verify the domain name with Zoho:
- CNAME Method: sử dụng record CNAME
- TXT Method: sử dụng record TXT
- HTML Method : upload a .html file on hosting
Anyway, I have to update DNS, so I will choose method number 1, create a CNAME record with Name is zb14691728, Value is zmverify.zoho.com
Wait a while for the domain name to complete the record, press Verify by CNAME button to complete.
3. Configure User and Group
If you verify successfully, you will receive the following message immediately:
Click the Create Account button to create a mailbox firstname.lastname@example.org.
In the next page, if you do not want to create more users, click the Next/Skip button to continue.
In the next step, Create Groups also press the Next / Skip button to continue.
4. Configure Zoho to receive email
Configure Email Delivery is the most important step, configuring the domain name to receive incoming mail.
Still, in the DNS configuration page of the domain name manipulated from step 2, you add 2 following MX records to be able to receive incoming mail.
Please delete all MX records if available before adding.
Zoho Mail supports Custom Login URL for you to log in and check mail more easily.
Still, in the DNS management page, create an additional CNAME record with the name mail and point to business.zoho.com that you can use the path mail.domain.com to login.
Configure SPF and DKIM
If you want the outgoing email to be transferred to Spam, you need to configure the SPF and DKIM for the domain name. Although not included in the installation steps, Zoho Mail strongly encourages all users to configure the SPF and DKIM records.
In the DNS configuration page, add a TXT record with Name @ and Value v=spf1 include:zcsend.net ~all
You create another TXT record, with Name being 3434._domainkey and Value being k=rsa; p=MIGfMA0GCSqGSIb3DQE
If you use CloudFlare, the entire record will look similar to the following:
Wait a while for the domain name to complete the entire record, click the Next button to get to the next step. Finally, click the Proceed to Access ZohoMail button to complete the installation and go to the mailbox.

5. Create additional domain emails in Zoho
If you want to create more email for the domain name in Zoho Mail, in email@example.com main mailbox, click the Settings icon with gear in the top right corner, select Control Panel.
6. Tips for using Zoho Mail

To create the default email, automatically send mail to this address when sent to an email address that does not exist (Catch All function), please click the Settings icon with gear shape, select Control Panel. Next select Org Settings, Catch-All, Add Catch All and enter the email address you want to use.
